Job Summary


The Administrative Officer provides administrative and clerical support to ensure the efficient operation of the office and construction site administration. The role is responsible for maintaining records, preparing correspondence, coordinating office activities, managing documentation, supporting logistics, and assisting with day-to-day administrative functions while ensuring compliance with company policies and procedures.

Responsibilities

The Administrative Officer shall:


Provide daily administrative support to the Administration Department and Site Management.
Receive, register, distribute, and file incoming and outgoing correspondence.
Maintain accurate employee, vendor, contractor, and company records.
Prepare letters, reports, memos, and other administrative documents.
Maintain office filing systems and ensure proper document control.
Monitor office stationery and consumables and initiate replenishment requests.
Prepare monthly administrative reports as required. (MPR)
Support for new employees, including accommodation, PPE issuance coordination, and office orientation.
Maintain leave records, attendance registers, and other administrative databases where applicable.
Liaise with internal departments and external service providers on administrative matters.
Ensure proper custody and control of official company documents.
Assist during audits by providing required administrative records.
Maintain confidentiality of company information and personnel records.
Ensure compliance with company administrative procedures and policies.
Support HSE initiatives by ensuring administrative compliance with site safety requirements.
Perform any other duties assigned by the Administration Manager or Management.


Qualifications and Skills

Education


Bachelor's Degree or Higher National Diploma (HND) in Business Administration, Public Administration, Office Management, Management, or a related discipline.


Experience


Minimum of 5 - 8 years' experience in an administrative role, preferably within a construction, engineering, manufacturing, or project-based environment.


Professional Certifications (Preferred)


Membership of a relevant professional body (e.g., Chartered Institute of Personnel Management (CIPM), Nigerian Institute of Management (NIM), or Institute of Chartered Secretaries and Administrators) is an added advantage.


Skills


Excellent written and verbal communication.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Good record-keeping and documentation skills.
Ability to work independently and under minimal supervision.
Strong interpersonal and customer service skills.
