Job Purpose


Provide administrative services proactively to meet the company's requirements for a comfortable business environment.
Strategically works with the Employee Relations Manager to meet all requirement for office suppliers, office maintenance services, guest house services, Expatriate management, office purchases and car fleet maintenance.


Key Responsibilities


Oversee and manage the day-to-day administrative operations of the company, including office management, facilities, inventory and administrative support services.
Develop and implement administrative policies, procedures, and best practices to streamline workflows and improve efficiency.
Supervise and lead administrative staff, including liaising with outsourced service providers on applicable employee issues.
Provide administrative support to senior management/expatriates, including scheduling / planning applicable meetings, preparing reports, and managing correspondence.
Coordinate travel arrangements, accommodations, and logistics for employees and executives as needed and also airport pickup/drop off and security escorts service.
Manage budgets, expenses, and financial records for administrative operations, ensuring cost-effectiveness and accountability.
Coordinate monthly knowledge sharing sessions and Beta Glass Women Network
Arrange and excellently execute all logistics for smooth visits of foreign visitors including processing of visa, flight reservations/confirmations and local logistics to meet visitors' need.
Ensure guest house and expatriate houses are run smoothly and efficiently by monitoring steward performance, tracking of bookings and usages, furniture maintenance and other logistics needs.
Provide car fleet services by ensuring effective repairs of cars, monitor pool car movement and monitor fuel consumption and drivers' conduct.


Requirements


Bachelor's Degree or Higher National Diploma (HND) in Business Administration or any other related field
Professional qualification is an added advantage.
Minimum of 7-10 years' relevant experience


The Person Must Have:


In depth knowledge of expatriate movement and logistic requirements
In depth knowledge of protocol procedures in the international and local airports.
Strong competencies in handling office administration.
Demonstrate ability to be of high integrity and accountability.
Knowledge of Microsoft Dynamics Navision or any other Enterprise Resource Planning (ERP) software.
