Purpose of the Role
Kenya Women in Insurance (KWIIN) is seeking a proactive and highly organized Administrative and Communications Assistant to support the Association's leadership and Secretariat.
The role exists to strengthen KWIIN's operational efficiency, enhance communication, grow the Association's brand, and support member engagement across the insurance sector. The ideal candidate will be an excellent communicator with strong administrative skills and the ability to coordinate multiple activities and stakeholders.
Key Responsibilities
The Administrative and Communications Assistant will work closely with the KWIIN Executive Council and report directly to the President. Responsibilities include:
Administrative Support
Manage the Executive Council's calendar, schedule meetings, and take minutes.
Prepare, proofread, and format official correspondence, reports, and presentations.
Maintain organized digital filing systems and Association records.
Communication and Stakeholder Management
Manage member correspondence and official email communication.
Oversee KWIIN's social media platforms management (LinkedIn, X/Twitter, Facebook, etc.)
Support the development of newsletters, press releases, and other communication materials.
Draft and manage communication with sponsors and stakeholders, and support fulfillment of sponsorship obligations.
Event Coordination
Coordinate virtual events including forums, webinars, and training sessions.
Support planning and execution of in-person events, including venue logistics, supplier management, speaker coordination, sponsor engagement, giveaways, and event materials.
Membership and Program Coordination
Maintain and update the membership database, including tracking member payments.
Support the onboarding and engagement of new members.
Assist in coordinating training programs and member development initiatives.
Expected Deliverables
Accurate and updated membership and stakeholder databases.
Timely, professional communication with members, partners, and sponsors.
At least one quarterly newsletter.
Consistent and engaging social media activity aligned with KWIIN objectives.
Effective coordination and administrative support for all scheduled events and activities.
Periodic progress reports submitted to the Executive Council.
Nature of Engagement
Part-time engagement (three to four days a week).
Remote role with flexible working hours.
Periodic in-person check-ins with the President and Executive Council as scheduled.
Qualifications & Experience
Diploma or Degree in Business Administration, Communication, Insurance, or a related field.
Strong written and verbal communication skills.
Prior experience as an Administrative Assistant or Communications Assistant, preferably within the insurance or financial services sector.
Knowledge of the insurance/financial services environment is an added advantage.
Excellent organizational and interpersonal skills.
