Job Description

Introduction


Pepkor Lifestyle is looking for an Archive Administrator who will be responsible for the day-to-day administration, monitoring,support, and maintenance of enterprise archiving and document management solutions.
The role ensures that business and SAP-related documents and data are securely archived, retained, retrieved, and managed in accordance with business, audit, legal, and regulatory requirements.
The Archive Administrator will monitor archive processes and interfaces, investigate and resolve incidents, maintain archive configurations, support retention requirements, and ensure the availability and integrity of archived information.
The role requires a good understanding of SAP environments, document archiving, data retention, and system integrations.
The administrator will work closely with SAP functional teams, Basis, Infrastructure, Security, business stakeholders, and external vendors to ensure stable and effective archive services.


Roles and Responsibilities


Administer and support enterprise archive and document management solutions.
Manage the archiving, storage, retrieval, retention, and disposal of electronic documents and data.
Monitor scheduled archive jobs, interfaces, queues, repositories, and storage capacity.
Investigate and resolve failed archive jobs, document retrieval issues, interface failures, andarchive-related incidents.
Support SAP document and data archiving processes.
Maintain archive repositories, document types, retention rules, and related system configurations.
Ensure archived documents and data remain accessible and retrievable throughout therequired retention period
Support integrations between SAP, archive platforms, scanning solutions, and otherenterprise applications.
Assist with the implementation and maintenance of document and data retention requirements.
Support audit, compliance, legal, and business requests for archived documents andhistorical information.
Perform regular archive health checks and identify capacity, performance, availability, or integrity issues.
Assist with archive platform upgrades, migrations, patches, and maintenance activities.
Investigate recurring archive issues and contribute to root cause analysis and permanent resolutions.
Maintain operational procedures, configuration documentation, support guides, and technical documentation.
Support disaster recovery and business continuity testing for archive solutions.
Provide operational support aligned to agreed incident management processes and SLAs.
Participate in change management, testing, deployment, and release activities.
Engage with archive solution vendors for technical support and issue resolution.
Identify opportunities to improve archive processes, monitoring, automation, and operational efficiency.


Experience


3 - 5 years experience in enterprise archiving, document management, records management,or related system administration.
Experience supporting enterprise archive or content management platforms.
Experience working with SAP ECC and/or SAP S/4HANA environments.
Understanding of SAP data archiving concepts.
Experience monitoring and troubleshooting archive jobs, interfaces, and repositories.
Experience with document storage, retrieval, retention, and deletion processes.
Experience supporting integrations between SAP and archive/document management platforms.
Experience troubleshooting application and integration issues.
Experience working with technical teams including SAP Basis, Infrastructure, Security, andapplication support.
Experience working within incident, problem, change, and release management processes.
Experience maintaining technical and operational documentation.

Qualifications


3-year IT, Information Systems, Information Management, or related degree/diploma (advantageous).
SAP ArchiveLink, SAP ILM, SAP Data Archiving, or related SAP training/certification (advantageous).
Enterprise Content Management or Records Management training/certification (advantageous).
Relevant archive platform certification, such as OpenText (advantageous).
ITIL V3 or ITIL 4 Certification (advantageous).
