Key Responsibilities

Examination Administration


Assist in planning, organizing and implementing the college's quarterly examinations calendar and ensure alignment with the academic calendar.
Conduct sanitization meeting with trainees on the examination registration and overall conduct.
Assist in Registration of student for external examination.
Assist in compilation and storage of student POEs.
Assist in the secure printing, packaging and storage of examination papers.
Support preparation of examination timetables and distribution to Trainees and Trainers.
Process exam entries and registrations, verify eligibility and ensure compliance with examination regulations.
Prepare and update examination records, databases, and candidate lists.
Coordinate invigilation arrangements, support invigilator briefing and scheduling.
Ensure safe handling, secure storage and distribution of question papers and confidential exam documents.
Systematically collect, count and record answer scripts after exams for delivery to markers.
Assist in processing exam results, mark sheet compilation, verification and dissemination of results to appropriate College offices.
Maintain archive of physical and electronic examination records and documents.


Compliance & Reporting


Ensure adherence to college examination policies, rules and regulatory standards.
Participate in the internal exam moderation, review and quality assurance processes as required.
Support preparation of examination reports, statistics and summaries for management.C. Communication & Support
Serve as a point of contact for examination-related inquiries from Trainees, Trainer and external bodies.
Assist in training or orienting new invigilators.
Provide excellent customer service in responding to student and faculty queries regarding exams


General Administrative Duties


Uphold confidentiality of examination materials and student records at all times.
Perform additional tasks as assigned by the Examinations Officer or College management.


Qualifications & Experience

Required:


Bachelor's degree (or equivalent) in Education, Business Administration, ICT, Science or related field.
Minimum of 1 years' experience in academic or examination administration.
Proficient in Microsoft Office and database management systems.


Desirable:


Prior experience in a college/university examination office.
Knowledge of academic regulations, examination systems, and record-keeping best practices.
