Key Responsibilities

Executive & Administrative Support


Manage the Director's calendar, appointments, meetings, and travel arrangements.
Prepare meeting agendas, reports, presentations, and correspondence.
Take meeting minutes and follow up on action points.
Screen calls, emails, and visitors on behalf of the Director.
Maintain organized filing systems for confidential and operational documents.


Office Coordination


Coordinate communication between departments and external stakeholders.
Support planning and execution of internal meetings and events.
Monitor office supplies and administrative requirements.
Ensure smooth day-to-day office operations within the executive office.


Communication & Guest Relations


Handle professional communication with clients, suppliers, and partners.
Assist in responding to customer concerns and escalations where required.
Maintain a high level of professionalism and customer service.


Reporting & Documentation


Prepare weekly and monthly administrative reports.
Track tasks, deadlines, and operational follow-ups for the Director.
Maintain accurate records and documentation.


Requirements

Qualifications & Experience


Diploma or Bachelor's Degree in Business Administration, Hospitality Management, Secretarial Studies, or related field.
Minimum 2 - 4 years' experience as an Executive Assistant, Personal Assistant, or Administrative Officer.
Experience in hospitality, hotels, or service industry is an added advantage.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
