The Executive Assistant will be the critical link between the CEO and the diverse operational landscape, providing high-level administrative, strategic, and confidential support. This role demands meticulous organization, professional discretion, and a working understanding of the energy/industrial sector to effectively manage the CEO's time and strategic priorities.
Key Responsibilities
Executive and Strategic Support
High-Level Calendar Management: Proactively manage and optimize the CEO's schedule, prioritizing engagements across industrial site visits, client meetings and internal leadership sessions.
Communication and Coordination: Serve as the professional gatekeeper and liaison for high-value clients. Draft, edit, and proofread technical proposals, internal memos, and executive reports.
Travel and Logistics: Arrange comprehensive travel plans for the CEO, often involving complex itineraries to local industrial sites or regional clients and international travels.
Presentation Preparation: Assist in preparing strategic presentations for meetings and client pitches, often involving data and metrics.
Operational and Administrative Management
Meeting Stewardship: Coordinate and prepare materials for Executive and Operations Review meetings. This includes creating agendas, compiling technical project updates, distributing pre-reads, and meticulously documenting key decisions and action items related to service delivery.
Follow-Up Tracking: Maintain a rigorous system for tracking critical operational deadlines, strategic follow-ups, and commitments made by the CEO to ensure project and service continuity.
Document Control: Manage and maintain highly confidential files, contracts, and company records.
Qualifications and Skills
Required
Proven Experience: Minimum of 4+ years of experience supporting a C-level Executive or Senior Leader, ideally within the Engineering, Industrial, Power, or Energy Sector in Kenya or East Africa.
Technical Acumen: Ability to understand and engage with business discussions involving technical terms related to steam, power, compressed air, energy audits, or industrial calibration.
Communication and Discretion: Exceptional written and verbal communication skills in English, with the proven ability to handle sensitive information with impeccable judgment.
Tech Proficiency: Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with relevant enterprise resource planning (ERP) or project management tools.
Highly Advantageous
Education: A Bachelor's Degree in Business Administration, Communications, Engineering (non-technical), or a related field is highly preferred.
A Diploma with deep relevant experience is also valuable.
Certifications: Professional certifications or industry-specific training credentials are an advantage.
Local Knowledge: Strong familiarity with the Nairobi and East African business and industrial environment.
