Job Summary
The Finance officer assists the Finance Manager in all the activities related to finance and cash management.
Responsibilities and Tasks
Treasury & Cash Follow-up:
Control themanagement ofthe petty cashby thefinanceassistant
Ensurethat thedaily physical inventory of the petty cashis accurate, and report any discrepancies tohis/her line manager
Ensure availability of cash at base level and forecast any cash issue
Prepare the weekly cash forecast and request at base level
Prepare and validate any checks done at base level
Monitor due dates for payments of contracts
Follow-up withregular payments
Guarantee security of the cash and confidentiality of information
Finance & Accounting Management:
Check, before recording any entry, that the invoices are compliant with PUI's regulations and procedures
Record all expensesmade through bankin the excel books on a daily basis, and to properly fill in the information needed (date, accounting code, project, budget code, etc.)
Monitor the voucher process, and the quality of archiving of the invoices, as per the donor's rules and regulations
Guarantee the quality of the archiving process at base level
Consolidate and check the accuracy of data of base accountancy.
Prepare the monthly accounting closure for the base
Participate in the consolidation of budget follow-ups
Prepare the weekly financial forecast of the base, compile it, and send it tothe FinanceManager for validation
Collect all invoices exempted from the VAT
Issue a monthly With Holding Tax report
Prepare the bank reconciliation at the end of each month
Preparethe annualclosing documents for the base
Preparethe external audit visits (donor and coordination visits).
Team Management:
Plan and supervise tasks of the team on daily basis
Update the leave plan for the team
With Finance manager support conduct appraisal, define and follow up objectives for team members in order to improve their performance
Support the Finance manager in staff recruitment
Ensure that the team complies with PUI policies and procedures
Requirements
Language skills: Fluent in Hausa and English and any Gwoza dialect is appreciated.
Education degree: University degree in Finance, Accounting, or another relevant degree
Work experience: Minimum 2 yearsof experience insimilar field (NGOs/private companies)
Knowledge and skills: Good analytical and writing skills
Computer skills: Good knowledge of the MS office software includingWord,Outlook. Excellent in Excel
