Job Summary
We are looking for a detail-oriented and organized Invoicing Clerk to manage invoicing activities, maintain accurate billing records, and support the finance and accounts function. The ideal candidate should have strong attention to detail, good numerical skills, and the ability to work accurately within deadlines.
Key Responsibilities
Prepare and issue accurate customer invoices in a timely manner.
Verify sales orders, delivery notes, receipts, and other supporting documents before invoicing.
Ensure invoices contain correct customer details, quantities, prices, taxes, and payment terms.
Process credit notes, debit notes, and invoice adjustments where required.
Maintain accurate and up-to-date invoicing records.
Reconcile invoices against customer accounts and supporting documentation.
Follow up on invoice discrepancies and work with relevant departments to resolve them.
Maintain proper filing of invoices and related financial documents.
Assist with accounts receivable and customer statement preparation.
Monitor outstanding invoices and provide relevant information for payment follow-up.
Respond to customer inquiries regarding invoices and billing issues.
Prepare invoicing reports and summaries as required.
Ensure compliance with company invoicing procedures and applicable tax requirements.
Perform other finance and administrative duties assigned by the supervisor.
Requirements
Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
Previous experience in invoicing, billing, accounts receivable, or a similar role.
Good understanding of accounting and invoicing procedures.
Proficiency in Microsoft Excel and accounting/invoicing software.
Strong numerical and analytical skills.
Excellent attention to detail and accuracy.
Good communication and interpersonal skills.
Ability to maintain confidentiality and handle financial information professionally.
Ability to work under pressure and meet deadlines.
