The Role


The Labour Market Integration & Human Resource Administrator (LMI & HR) is a combined entry-level role that sits at the heart of NairoBits' Programs and Partnerships Department. The officer will serve as the critical bridge between NairoBits graduates and employment opportunities, building employer partnerships, coaching graduates on career readiness, and tracking post-training outcomes, while also providing effective human resource and office administration support across the organisation.
This is an ideal role for a motivated, people-oriented professional who is passionate about youth economic empowerment and eager to grow their career across both HR and programme delivery.


Key Responsibilities


Employer Partnerships & Job PlacementIdentify, approach and build relationships with employers, SMEs, tech companies and industry
networks in Nairobi and beyond who can offer jobs, internships or freelance opportunities toNairoBits graduates.
Develop and maintain a live employer database, tracking engagement status, placement opportunities and partnership agreements.
Coordinate job fairs, employer engagement events and on-campus recruitment activities inpartnership with the communications team.
Negotiate and formalise placement agreements, memoranda of understanding (MOUs), and internship frameworks with partner organisations.
Serve as the primary point of contact for employers throughout the recruitment and placement process.
Track and report on placement outcomes, including the number of graduates placed, sectors,roles, and salary ranges.


Graduate Career Readiness & Coaching


Facilitate in sourcing for Coaches and Mentors to conduct individual and group career readiness sessions with NairoBits graduates, covering CV writing, interview preparation, personal branding and professional conduct.
Assess graduates' skills, career interests, and employment readiness and match them to suitable opportunities.
Provide one-on-one coaching and follow-up support to graduates throughout their job search and early employment.
Develop and update career readiness toolkits, templates (CVs, cover letters, LinkedIn profiles), and resource guides.
Maintain a graduate tracking database to monitor post-training employment status at 3, 6, and 12 months.
Facilitate peer learning networks and alumni mentorship connections among graduates.
Labour Market Research & Programme Alignment
Monitor trends in Kenya's technology and digital economy to identify in-demand skills and
emerging job categories.
Share labour market insights with the training team to ensure NairoBits' curriculum remains
relevant and employer-aligned.
Contribute to quarterly and annual reports on placement rates, employer feedback, and graduate outcomes.
Support the Programs and Partnerships team with data and case studies for donor reporting and fundraising proposals.


Human Resource Administration


Support recruitment processes, including developing and posting vacancy announcements, screening and short-listing applications, interviewing, and conducting background and reference checks.
Prepare offer letters and employee contracts for new staff, and track contract expiry dates for renewal; ensure any changes in employee status are adequately documented.
Track probationary periods and ensure confirmations, extensions, or terminations are handled within agreed timescales.
Support orientation and onboarding of new employees, including preparing welcome packages, registering staff for benefits, and ensuring appropriate workspace and resources.
Support the Finance Manager to ensure employee salary and benefits are correctly computed and that payroll is promptly updated with any changes.
Administer HR policies covering terms and conditions of service, salaries and benefits, employment contracts, and leave records.
Administer the organisation's medical scheme and pension/provident fund, liaising with insurance administrators for reimbursements, new enrolments, and removals.
Oversee management of employee leave and update the HRIMS for accurate reporting; prepare monthly organisation charts.
Monitor the performance management system and ensure key dates and deadlines are met.
Manage Volunteer, Temporary staff, and Intern contracts.
Ensure compliance with all internal policies and procedures as well as applicable Kenyan labour laws.


Qualifications and Experience


Diploma or Bachelor's degree in Human Resource Management, Social Sciences, Development Studies, Business Administration, or a related field.
0 - 2 years of experience in HR, youth employment, career services, recruitment, or a related field (internship experience counts).
Strong interpersonal and relationship-building skills, with a genuine commitment to youth empowerment.
Excellent written and verbal communication skills in English and Kiswahili.
Proficiency in MS Office (Word, Excel, PowerPoint) and comfort with data and records management.
Good understanding and working knowledge of Kenyan labour laws and statutory requirements.
Self-starter with the ability to work independently and manage multiple tasks in a fast-paced environment.
High level of integrity, honesty, maturity, and discretion in handling confidential information.
Professional certification in HRM; membership of IHRM Kenya is an advantage.
Familiarity with Kenya's tech industry, start-up ecosystem, or NGO sector.
Experience using HR information systems or CRM/applicant tracking tools.
Personal connection to or lived experience in urban informal settlement communities.
Knowledge of youth-focused development frameworks (TVET, NITA, KEPSA partnerships, etc.)


KPIs for the LMI & HR Role


Graduate Placement Rate - 90% of NairoBits graduates placed in jobs, internships, or freelance work within 3, 6, and 12 months post-training.
Active Employer Partnerships - Number of new employers, SMEs, and tech companies onboarded per quarter with signed MOUs or placement agreements. Target 10 - 15 new partner per quarter.
HR Compliance & Turnaround Time - 95% % of HR processes (contracts, confirmations, payroll updates, leave records) completed accurately and within agreed timescales. Target: 95%+ on-time completion with zero statutory compliance breaches.
Career Readiness Engagement - Number of graduates who complete career readiness sessions
(CV, interview prep, LinkedIn) and report improved employment confidence. Target: 90% of graduates coached per cohort.
Graduate Outcome Tracking Completeness - 85% % of graduates with updated employment status recorded in the tracking database at the 3, 6, and 12-month intervals. Target: 85%+ data completeness per cohort cycle.
