JOB SUMMARY
The Planning Team Lead is the senior leader responsible for all maintenance planning and scheduling on the FPSO (topside, hull, and marine systems). The role combines:
Team leadership of a multidisciplinary group of planners (mechanical, electrical, instrumentation, and third-party activities)
Strategic planning & scheduling (preventive, corrective, and condition-based maintenance)
CMMS ownership (mainly SAP PM)
Performance analytics & KPI reporting (using Excel dashboards and Power BI)
Full HSE, regulatory, and client compliance
It is a hands-on leadership role that sits between operations, maintenance execution, and the client, ensuring work is properly planned, resourced, safe, and delivered on time while meeting strict offshore standards
KEY RESPONSIBILITIES
Team Leadership & Coordination
Lead, mentor, and supervise a multidisciplinary team of planners covering mechanical, electrical, instrumentation, and third-party maintenance activities.
Set team objectives, conduct performance reviews, and drive a culture of accountability, precision, and continuous improvement.
Act as the primary interface between the planning team, operations, maintenance execution, and the client representative.
Chair daily, weekly, and monthly planning coordination meetings; produce and distribute meeting minutes and action trackers.
Ensure workload is balanced across the team, providing guidance and resolving planning conflicts proactively.
Maintenance Planning & Scheduling
Develop, maintain, and optimise the Master Maintenance Schedule for all FPSO topside, hull, and marine systems, covering preventive maintenance, corrective maintenance, and condition-based maintenance.
Prepare and approve detailed Work Packages, including job scope, task breakdowns, resource requirements, material lists, safety isolations, and method statements, in compliance with FPSO operator standards.
Ensure PM plans are aligned with OEM recommendations, class society requirements, and regulatory inspection schedules (flag state, OCIMF, SIRE).
Coordinate long-term planning horizons (90-day, 6-month, annual) with short-term weekly and daily schedule management.
Prioritise work orders in accordance with criticality rankings and asset reliability needs, escalating any conflicts to the Maintenance Manager.
Manage and coordinate planned shutdown windows and full-field shutdown (FFSD) preparation, including critical path development.
CMMS Administration & Data Governance
Own and administer the CMMS (SAP PM or equivalent) for all planning-related functions: work order creation, scheduling, notifications, equipment history, and backlog management.
Enforce data quality standards within the CMMS; ensure all completed work orders are closed with accurate feedback, labour hours, materials consumed, and failure codes.
Audit CMMS data regularly to identify gaps, orphan notifications, overdue PM orders, and incorrect functional locations.
Drive the development and optimisation of PM task lists, maintenance strategies, and equipment hierarchies within the CMMS.
Interface with the document control team to ensure all procedures, work instructions, and technical drawings referenced in work packages are current and version-controlled.
Analytics, KPI Management & Reporting
Define, track, analyse, and report on key maintenance performance indicators, including:
Schedule Compliance (weekly PM and CM execution vs. plan)
Backlog Management (overdue PMs, open CMs by age and priority)
Mean Time Between Failures (MTBF) and Mean Time To Repair (MTTR) by equipment class
Planned vs. Unplanned Maintenance Ratio
Maintenance Cost per Discipline vs. budget
Work Order Cycle Time (notification to close-out)
Build and maintain dynamic Excel dashboards and Power BI reports to visualise maintenance performance trends for management, clients, and contract reviews.
Conduct monthly performance analysis and present findings with root cause commentary and corrective action plans.
Support annual budget preparation by providing detailed maintenance workload forecasts, manpower estimates, and material cost projections.
Deliver ad-hoc analytical reports as requested by the client or Maintenance Manager, using data drawn from SAP, Excel, and Power BI.
Regulatory Compliance & Safety
Ensure all maintenance plans and work packages comply with applicable offshore regulations, including NUPRC requirements, flag state regulations, OCIMF SIRE, ISM Code, and client HSSE standards.
Ensure timely scheduling and tracking of safety-critical maintenance (SCM) items, safety valve testing, deluge system verification, and emergency system proof tests.
Verify that all work packages include appropriate risk assessments, PTW (Permit to Work) references, LOTO plans, and method statements before execution.
Maintain a live tracker of certification expiry dates for lifting equipment, pressure vessels, safety valves, life-saving appliances, and fire and gas detectors.
Participate in internal and client HSE audits; implement corrective actions related to the planning function within agreed timescales.
Communication & Stakeholder Management
Serve as the planning function's representative in all client progress meetings, presenting schedule status, KPI performance, and backlog management updates clearly and confidently.
Translate complex maintenance data into clear, executive-level summaries for monthly contract review meetings.
Coordinate with procurement and supply chain to ensure materials and spare parts are available ahead of planned maintenance windows; escalate critical spares shortages immediately.
Liaise with third-party contractors and OEM service providers on scope, mobilisation timelines, and progress reporting
EDUCATIONAL & JOB REQUIREMENTS
Minimum 15 years of experience in oil and gas maintenance planning, with at least 5 years in an FPSO or offshore floating production environment.
Proven experience leading a planning team of 4 or more planners across multiple disciplines.
Expert user of a CMMS platform (SAP PM strongly preferred); able to configure, audit, and train others on the system.
Advanced proficiency in Microsoft Excel and Power BI for maintenance performance reporting and dashboard development.
Solid understanding of FPSO maintenance scopes: topside process equipment, rotating machinery, electrical systems, instrumentation, marine systems, lifting equipment, and hull integrity.
Familiarity with offshore regulatory frameworks: NUPRC, flag state, ISM Code, OCIMF, SIRE, and class society requirements.
