Background
Community Development and Reproductive Health Initiative [CODERHI] is a non-profit organisation implementing programme's across multiple locations in Nigeria. To support programme delivery, the organisation requires reliable catering service providers to supply catering services during trainings, meetings, and workshops.
The organisation intends to establish Framework Agreements (FAs) with qualified vendors for service provision in the following locations:
Biu LGA (Borno State)
Kwayakusar LGA (Borno State)
Maiduguri (Borno state)
Objective
The objective of this tender is to pre-qualify and engage competent catering vendors under a Framework Agreement, from which service requests will be issued on a call-off basis.
Scope of Services
The selected vendors shall provide catering services as detailed below. The descriptions provided are reference standards to guide quality and portion expectations.
Tea Break (Morning)
Reference Standard:
Boiled/Fried Potato or yam with egg/liver sauce
Water ( 75cl bottle)
Milk and Milo (or equivalent beverage)
One fruit (e.g. apple)
Lunch
Reference Standard:
Rice with coleslaw or swallow with ogbono, vegetable, or egusi soup, white soup E.T.C
Chicken (four-cut portion)
Beverage (Five Alive 85cl or equivalent)
Water (75cl bottle)
Evening Tea Break
Reference Standard:
Two snack items (meat pie, cupcake, or doughnut , Short cake)
One non-carbonated drink (35cl)
Requirement:
All meals must be packaged as takeaway
Snacks must be fresh and properly packaged
Drinks should be sealed and from recognized brands
Vendors may propose equivalent items, but must maintain similar nutritional value and portion size.
Meals must be well portioned and culturally appropriate
Vendors should indicate alternatives where menu items are unavailable, subject to approval
General Service Requirements
Timely delivery to designated venue
Hygienic food preparation and handling
Clean and appropriate packaging
Capacity to cater for varying group sizes
Flexibility to adjust menus based on prior approval
Framework Agreement Modality
The Framework Agreement is non-exclusive.
Multiple vendors may be selected.
No guaranteed minimum volume of business.
Services will be requested through Purchase Orders / Call-off Requests.
Duration: 12 months (renewable based on performance).
Eligibility Criteria(Pass/Fail)
Vendors must submit the following:
Business registration (CAC or equivalent)
Evidence of similar experience in catering
Evidence of presence in the specified location(s) or close to it
Technical Requirements
Vendors should demonstrate:
Capacity to deliver in at least one of the listed locations
Experience handling catering for events/trainings
Adherence to hygiene and safety standards
Ability to meet timelines consistently
Financial Proposal
Vendors must submit a quote for each item on a letter headed paper or fill the RFQ form (here) ensuring it is properly signed and stamped.
Notes:
Prices must be inclusive of all costs (transport, service, etc.).
Prices should remain fixed for the duration of the agreement.
Evaluation Criteria
Bids will be evaluated based on:
Technical capacity and experience
Price competitiveness
Vendor presence in target locations
General Conditions
The organization reserves the right to accept or reject any bid.
This tender does not constitute a commitment to award a contract.
