The Purpose of the Role


The individual in the role is responsible for delivering a professional, welcoming, and efficient front-of-house service to employees, clients, visitors, suppliers, and other stakeholders.
As the organisation's first point of contact, the role ensures the effective coordination of reception services, visitor management, telephonic communications, and related administrative functions.
The individual is required to maintain a professional corporate image, uphold workplace confidentiality and security standards, and provide administrative support that contributes to the efficient and effective operation of the office

Reception and Front-of-House Services


Providing a professional, courteous and welcoming reception service to all employees, visitors, clients and other stakeholders.
Receiving and directing visitors to the appropriate employee, department or meeting venue.
Ensuring that the reception area is maintained in a clean, organised and professional manner.
Managing visitor access in accordance with organisational security and access-control procedures.
Ensuring that visitors are appropriately registered and issued with visitor identification where applicable.
Notifying relevant employees when their visitors arrive and facilitate an efficient visitor experience.


Telephone and Communication Management


Operating the switchboard and handle incoming calls professionally and efficiently.
Screening, transferring and routing calls to the appropriate employees or departments.
Taking accurate messages and ensure that urgent or important communication is promptly conveyed.
Responding to general enquiries within the scope of the role and direct more complex enquiries to the appropriate person.
Always maintaining a professional standard of telephone and written communication.


Visitor and Access Coordination


Coordinating the arrival and departure of visitors, contractors, service providers and other external stakeholders.
Liaising with security personnel regarding visitor access and relevant access requirements.
Maintaining accurate visitor records and ensure that access procedures are consistently followed.
Assisting with the coordination of meeting-room access and visitor requirements.
Escalating unusual, unauthorised or potentially concerning access requests in accordance with established procedures.
Administrative Support
Providing general administrative and clerical support to the office and relevant management or support functions.
Assisting with the preparation, distribution and filing of routine documentation.
Maintaining reception-related records, registers, contact information and administrative logs.
Receiving and distribute correspondence, deliveries and other documents to the appropriate recipients.
Assisting with meeting and office arrangements when required.


Office and Facilities Coordination


Monitoring general reception and common-area requirements and report maintenance or facilities-related issues.
Liaising with relevant internal teams and service providers regarding routine office requirements.
Assisting with the coordination of courier collections, deliveries and related logistics.
Monitoring stationery and reception supplies and submit requests for replenishment when required.
Supporting the orderly functioning of the reception and front-office environment.


Security, Confidentiality and Compliance


Comply with organisational policies, procedures and standards relating to security, confidentiality, access control and information management.
Maintain confidentiality when dealing with employee, visitor, business and organisational information.
Exercising appropriate discretion when receiving visitors, handling telephone enquiries and managing sensitive information.
Reporting security incidents, unauthorised access attempts and other relevant concerns promptly.
