Job Purpose
The Sales Accounting Clerk is responsible for verifying customer payments, issuing accurate sales invoices, and reconciling daily sales transactions. The role ensures accuracy and compliance with company financial procedures and internal accounting controls, working in close coordination with the Sales, Loading, and Finance departments.
Key Duties and Responsibilities
Verify and confirm customer payments for all sales orders, including cash, bank transfers, cheques, and credit account transactions before order processing.
Issue accurate sales invoices upon completion of customer orders and dispatch.
Reconcile daily sales transactions, customer payments, invoices, and dispatch records to ensure accuracy and completeness.
Coordinate closely with the Sales, Loading, and Finance departments to confirm order status, payment clearance, and invoicing timelines.
Ensure compliance with company financial procedures, tax requirements, and internal accounting controls.
Work rotational shifts, including night shifts, weekends, and public holidays as required by factory operations.
Key Outputs / Deliverables
Payment verification: timely and accurate confirmation of customer payments prior to order processing.
Invoice accuracy: error-free sales invoices issued promptly upon order completion and dispatch.
Reconciliation: complete and accurate daily reconciliation of sales transactions, payments, and dispatch records.
Compliance: adherence to company financial procedures, tax requirements, and internal controls.
Professional Qualifications, Knowledge, and Experience
Education:
Diploma or Bachelor's Degree in Accounting, Finance, Commerce, or a related field. CPA Part II or equivalent professional accounting qualification is an added advantage.
Experience:
At least 1 - 2 years of experience in a similar accounts or finance role, preferably in a manufacturing or FMCG environment.
Proficiency in Microsoft Excel and ERP/accounting systems.
Strong numerical accuracy and attention to detail.
Good communication and teamwork skills.
Ability to work under pressure in a fast-paced operational environment.
Willingness and ability to work rotational shifts, including night shifts, weekends, and public holidays.
