Requirements :


Grade 12 certificate or equivalent (NQF Level 4). A relevant certificate/diploma in Office Administration or Secretarial Studies will be an added advantage. Relevant experience providing secretarial/administrative support, preferably in a health or public sector office, will be an added advantage. Computer literacy (MS Word, Excel, PowerPoint, Outlook).
Good verbal and written communication skills. Sound organizational, planning and time-management skills, with the ability to prioritize and multi-task. Ability to work independently under pressure and meet deadlines. Ability to handle confidential and sensitive information with discretion, tact and professionalism. Knowledge of Batho Pele Principles, PFMA and PMDS Policy. Good interpersonal relations, telephone etiquette and a client-orientated approach.


Duties :


Render a comprehensive personal assistant/secretarial support service to the Nursing Manager, including overall administration and daily co-ordination of office activities. Manage the Nursing Manager's diary: schedule and confirm appointments, meetings and engagements, proactively flag clashes, and remind the manager of deadlines and commitments.
Manage all incoming and outgoing correspondence, including registering, prioritizing, tracking and following up on documents requiring the Nursing Manager's attention or signature. Co-ordinate and prepare for meetings and workshops chaired or attended by the Nursing Manager, including compiling agendas, collating supporting documents, taking and typing minutes, and following up on resolutions/action items. Draft routine correspondence, memoranda, submissions and reports on behalf of the Nursing Manager for approval and signature.
Provide reception services, including call screening, receiving and relaying messages, and providing a hospitable reception to visitors, staff and stakeholders to the manager's office. Liaise on behalf of the Nursing Manager with internal departments, external stakeholders, and provincial/district Department of Health offices, escalating matters appropriately. Make travel and accommodation arrangements for the Nursing Manager.
Handle and safeguard confidential documents, correspondence and information relating to the Nursing Manager's office. Operate standard office equipment (PC Desktop/laptop , photocopier, telephone) and maintain an effective, easily retrievable filing and record-keeping system (electronic and hard copy) for the office. Type correspondence such as reports, submissions, presentations and letters, ensuring accuracy, confidentiality and turnaround within required timeframes.
Assist with the co-ordination and monitoring of the Nursing Manager's budget-related administration, including petty cash, procurement requisitions and stock/stationery orders for the office. Keep track of tasks delegated by the Nursing Manager and provide regular status updates/reminders to support timeous completion. Perform any other administrative tasks as delegated and adhere to the PMDS Policy.
