Job Summary

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and executive support to the Managing Director of a Pharmaceutical company. The ideal candidate will manage schedules, coordinate meetings, handle correspondence, and ensure the efficient day-to-day operation of the MD's office.

Key Responsibilities


Manage the MD's calendar, appointments, and travel arrangements.
Coordinate meetings, prepare agendas, and take meeting minutes when required.
Handle emails, correspondence, and phone calls on behalf of the MD.
Prepare reports, presentations, and business documents.
Organize and maintain confidential files, records, and documentation.
Follow up on action items and ensure timely completion of assigned tasks.
Liaise with internal teams, clients, partners, and stakeholders.
Assist in planning company events, business meetings, and executive engagements.
Conduct research and gather information to support business decisions.
Perform other administrative and executive support duties as assigned.


Requirements


Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
2 - 5 years of experience as a Personal Assistant, Executive Assistant, or similar role.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Flexibility in work Schedules.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Basislc Knowledge in AI tools(Claude AI and ChatGPT)
Ability to handle confidential information with discretion and professionalism.
Strong attention to detail and problem-solving skills.
Experience in the healthcare or pharmaceutical industry is an added advantage.
