Position Summary: The Project Accountant is responsible for providing financial management support to specific donor-funded projects, ensuring proper accounting, reporting, compliance, and monitoring of project funds. The role ensures that project expenditures are accurately captured, reported, and aligned with donor requirements, organizational policies, and statutory regulations.
Essential Role Responsibilities
Financial Management & Reporting
Maintain up-to-date financial records for assigned projects.
Prepare periodic donor financial reports and ensure timely submission.
Track project budgets vs. actual expenditures and provide variance analysis.
Work with project teams to prepare forecasts and spending plans.
Ensure expenditures are allowable, allocable, and reasonable per donor guidelines.
Budgeting & Compliance
Support project managers in developing and revising project budgets.
Monitor compliance with donor agreements, organizational policies, and statutory requirements.
Provide guidance to program staff on financial aspects of project implementation.
Facilitate internal and external audits of project funds.
Payments & Accounting
Review and process project-related payment requests and staff advances.
Reconcile project accounts, including donor funds, sub-grants, and partner reports.
Ensure accurate coding of expenses to the correct budget lines and donor codes.
Manage partner financial reporting, review supporting documentation, and provide capacity-building support where needed.
Systems & Controls
Maintain strong internal controls for project funds.
Assist in digitizing and documenting project-related transactions for easy retrieval.
Participate in process improvement initiatives to enhance financial efficiency.
Collaboration & Capacity Building
Work closely with program staff to ensure financial understanding and adherence to project budgets.
Provide training and support to project staff and implementing partners on financial procedures.
Requirements:
Bachelor's degree in accounting, Finance, or related field.
CPA (K) or ACCA qualification.
Eight Years working experience with a minimum 5 years experience in project or grants accounting (preferably in NGO/healthcare sector/charity or faith-based organization).
Strong knowledge of donor compliance requirements.
Proficiency in accounting software (QuickBooks, Sage, or ERP systems).
Strong analytical and reporting skills.
High integrity and attention to detail.
Membership to Respective Professional Body and in Good Standing
Compliance with Requirements Chapter 6 of the Constitution
