The Counter Sales Assistant serves as the first point of contact for customers within the Water & Irrigation Division, ensuring efficient service, accurate sales documentation, and smooth operational coordination.
The position supports customer satisfaction, sales growth, and integrity of transactions through proactive engagement, precise documentation, and adherence to company procedures.

Key Roles

Customer Service and Counter Sales Management


Attend to walk-in and phone-in customers courteously and professionally.
Advise clients on suitable pumps, pipes, tanks, fittings, and irrigation products.
Prepare and issue quotations, LPOs, and invoices in Odoo.
Follow up on quotations to ensure conversion and customer retention.


Operational Coordination and Stock Accountability


Liaise with Stores, Dispatch, and Procurement teams to confirm product availability and delivery.
Reconcile daily stock movement and ensure all items issued are correctly returned or invoiced.
Report low or fast-moving stock for timely restocking.


Documentation and Record Management


Ensure all sales documents (quotations, invoices, LPOs) are accurately filed and retrievable.
Maintain up-to-date customer records and transaction logs in Odoo.
Support audit readiness by ensuring full traceability of all transactions.


Payment Collection and Reconciliation


Receive and verify customer payments (cash, M-Pesa, or cheque).
Ensure prompt hand-over to the cashier and daily reconciliation of receipts.
Maintain zero tolerance for unrecorded or pending payments.


After-Sales Support and Customer Retention


Follow up with customers after purchase to confirm satisfaction and product performance.
Address minor complaints promptly or escalate where necessary.
Promote repeat business and build long-term customer relationships.


Sales Reporting and Market Feedback


Compile daily and weekly sales performance reports.
Record competitor prices, customer preferences, and product inquiries.
Share actionable insights with the Sales Manager for planning and improvement.


Compliance and Professional Conduct


Uphold company policies on customer service, ethics, and confidentiality.
Adhere to health and safety standards at the sales counter.
Maintain professional grooming, punctuality, and teamwork at all times.


Qualification

Qualifications & Experience


Diploma or Certificate in Sales & Marketing, Business, Agricultural Engineering, or related field.
A Bachelor's Degree in a relevant field will be an added advantage.
1 - 2 years' experience in water and irrigation sales (pumps, pipes, tanks, irrigation systems).
Knowledge of Odoo ERP or other POS systems preferred.
Excellent communication, numerical accuracy, and attention to detail.
